P.A / Administrator
We have an exciting opportunity for a PA/ Administrator to join our high performing Business Support team!
The role will cover a range of administration services, the scope will be dependent on the requirements of the individual areas. The role holder will be adept at all aspects of administration and will also carry out Personal Assistant duties when required.
This role will be part of the wider Business Support team, flexibility and strong team working together with collaboration with the whole company is required to fulfil this role effectively and to the high standard required.
Job Description
- Scheduling appointments and managing diaries
- Management of shared inbox and calendar
- Making Travel and Hotel arrangements
- Planning conference, workshops, seminars, and other events
- Preparation of papers / presentation for meetings, taking notes at meetings, preparing the minutes, and subsequently distributing to all participants.
- Generation of presentation materials and control of our core library of go-to docs.
- Timesheet Management support
- Support and coordinate with document controllers to ensure Project documents remain up to date.
- Provision of agreed administration and personal assistant services to internal customers to agreed standards.
- Provide advice and guidance on issues appropriate to their function.
- Carry out designated work packages to meet standards of safety, cost, time, and quality.
- Proactively look to improve the systems in the working area utilising best practice.
- Where appropriate, day to day organisation of business support within business area including, where applicable, guiding and supporting others.
- Organisation of own work with limited reference upwards. Where applicable, anticipate and deal with arising issues according to procedures and laid down parameters, re-route tasks and monitor them.
- Will maintain and develop good contacts with individuals/organisations at all levels internal and external to the Company.
- Where appropriate, may contribute to the formulation of budgetary information and procedures.
- Promoting and monitoring a safe environment/good housekeeping of the working area.
- Where appropriate, train and develop others to appropriate standards.
- Complies with all legislative, regulatory and company procedures and standards e.g. safety, quality, risk, security etc. appropriate to the role.
- General Admin support
- Support in onboarding new starters.
- Support in IT requests and issues.
Knowledge, Skills and Experience
- Demonstrable experience of working as a PA or Administrator.
- Strong communication skills
- Excellent attention to detail
- Excellent organisation and people management skills
- Ability to prioritise and multitask efficiently.
- Proficient in Microsoft Packages
- Working knowledge of standard word processing., spreadsheet and other productivity software tools
- Experience of working in a Project Support role is desirable
- Ability to obtain BPSS Clearance
